Under general supervision, the Administrative Assistant performs various administrative tasks, such as creating or revising various types of documents,
making travel arrangements, maintaining and updating paperwork and files, providing assistance with special projects, and providing other general
administrative assistance as CENIC's business needs dictate. In particular, this position will be responsible for providing administrative support in
multiple areas, including, but not limited to, video services, event planning, and contract administration.

- Administrative and Operational Duties:
- General administrative duties as assigned.
- Provide coordination of K20Video services and support, both for deployment and ongoing support, between contacts at participating
sites, CENIC technical staff, and third-party support organizations. Compile information regarding usage and requests for assistance to
identify trends and prepare summary reports for the K20Video Oversight Committee and other audiences as required.
- Serve as first point-of-contact for K20Video requests, including special and non-standard requests, addressing or escalating such
requests as appropriate.
- Serve as first point-of-contact for CENIC conference questions and requests, including registration requests, hotel concerns, and
other administrative issues related to the conference, addressing or escalating such requests as appropriate.
- Setup, coordinate, and oversee registration desk function at CENIC events, including the CENIC annual conference, as required.
- Provide on-site administrative support at CENIC events, including the CENIC conference, as required.
- Maintain PARC information to be consistent with documents in contracts files and update as needed, including uploading of scanned
documents into PARC.
- Consultation, User Support, and Training
- Provide consultation and support for K20Video, including technological infrastructure (e.g., site gatekeeper registration, video
equipment configuration and use), audio and video technology, and training to CENIC Operations and campus/site support personnel, recommending
solutions as appropriate or providing referrals to the appropriate resources for guidance and solutions.
- Disseminate information on K20Video policies and procedures.
- Maintain the K20Video training program designed to provide knowledge to on-site video support and other personnel at participating sites on:
1) the use of the K20Video infrastructure (e.g., video scheduler, gatekeepers, and ad hoc conferencing); 2) best practices in troubleshooting
problems; and 3) adhering to the policies and procedures set by the K20Video Oversight Committee.
- Provide training and support to volunteers for CENIC conference committees on use of tools (e.g., the Conference TWiki and conference Web pages).
- Committee Participation:
- Facilitate K20Video meetings by providing administrative support and coordination as required (e.g., making meeting arrangements, recording minutes,
etc.). Participate on K20Video sub-committees as required. Perform research and analysis as requested by the K20Video Oversight Committee.
- Facilitate CENIC conference meetings by providing administrative support and coordination as required (e.g., making meeting arrangements, recording
minutes, etc.). Facilitate other meetings and participate on committees for other events as required.
- Other:
- Other duties as assigned.
- Position Requirements:
- Requires Bachelor's Degree or equivalent combination of education and experience.
- Minimum of five years administrative experience.
- Must be detail-oriented, customer-focused, capable of working effectively in a team environment, and must possess sound judgment and solid
logical problem solving skills. In addition, must have the ability to handle multiple assignments and interact successfully with all levels of
faculty, teachers, technical and non-technical staff, management, and providers of goods and services in a fast-paced and dynamic environment.
Excellent interpersonal skills and strong written and oral communications skills are necessary.
